INTERVAL / PRACTICAL GUIDES

# Spot overlapping meetings on your Mac before they catch you out

By [Cory Parry](https://meetinterval.com/about) , maker of Interval · Updated 17 October 2026

To catch double-booked meetings on a Mac, first make every calendar, including Google and Outlook, appear in Apple Calendar. Then use a view that flags clashes as your day unfolds. Interval shows an orange “Overlaps with…” warning beside any meeting that clashes in your selected calendars. It warns; it does not reschedule.

## Why overlaps slip through

A work invitation and a personal appointment can look reasonable when you see them in separate calendars. The clash becomes obvious only when both occupy the same stretch of the day. If one account is missing from your everyday view, a meeting tool cannot help you notice the information it has never been given.

## Step 1: get every calendar into Apple Calendar

Make the work and personal calendars you need available in Apple Calendar on your Mac. That includes Google or Outlook calendars when you use them. Follow the [Google and Outlook calendar setup guide](https://meetinterval.com/guides/google-outlook-calendar-on-mac) , then check that the relevant events are visible in Apple Calendar before expecting them in Interval.

Next, choose those calendars in Interval. The selected set matters: a conflict involving an excluded calendar is outside the information you have asked Interval to use. The [Apple Calendar and meeting timer guide](https://meetinterval.com/guides/apple-calendar-meeting-timer) covers the connection between the calendar and the panel.

## Step 2: see clashes as the day happens

Interval puts an orange **“Overlaps with…”** warning beside a meeting that clashes with another event in your selected calendars. The rest of the day is listed below. In the fictional example below, Planning and Design review overlap, so the warning gives you a reason to inspect the timing before joining.

![Native Interval Planning meeting with an orange Overlaps with Design review warning, and Design review listed under Later today with its own overlap warning](https://meetinterval.com/assets/guides/overlap.png)

Planning and Design review use fictional example data; the events overlap and Interval marks their conflict in the native panel.

This is a visible schedule warning. It is not a promise of a separate system notification, automatic conflict resolution or a change to either event. Keep that distinction in mind if your main need is a separate alert while you are away from the panel.

## Step 3: decide what to do

1. **Decline or rearrange one invitation.** Use your calendar and tell the relevant organiser. Interval does not send that response for you.
2. **Agree a shorter discussion.** If you only need the first part, agree when you will leave and what decision needs to happen before then.
3. **Delegate where appropriate.** Ask a colleague to attend or bring back the decision, and confirm how you will follow up.

Those are choices for the people involved, not actions Interval takes. For a fuller day-planning approach, use the [workflow for a day full of meetings](https://meetinterval.com/guides/time-management-for-meeting-heavy-days) . Leave time to check the next commitment before extending the current discussion.

Interval's **+5 min** control changes your personal timer only. It cannot make an overlap disappear: the invitation and other attendees' schedules remain unchanged. If the next meeting already conflicts, agree the consequences with the group rather than treating extra timer minutes as extra calendar availability.

## Other tools

[InstaCal documents conflict warnings while editing events](https://instacalapp.com/manual/planning/find-a-time/) . That is a different stage of the workflow: spotting a scheduling problem while you make the event, rather than seeing a warning beside the meeting as the day happens. The [US App Store listing](https://apps.apple.com/us/app/instacal-menu-bar-calendar/id1247292524) confirms US$19.99, checked 17 October 2026; its [homepage](https://instacalapp.com/) describes one purchase for Mac, iPhone, iPad and Watch.

Apple Calendar also documents [checking invitee availability and finding a lower-conflict time](https://support.apple.com/guide/calendar/icl1016/mac) when the calendar service supports it. That scheduling tool is distinct from Interval’s warning beside your selected calendar events. This comparison makes no universal claim about automatic Apple Calendar overlap alerts.

Interval reads selected Apple Calendar events on your Mac and never edits them. Google and Outlook calendars must appear in Apple Calendar first; there is no direct Google or Outlook sign-in. It works on-device without an Interval account. Supported meeting links are Zoom, Google Meet, Microsoft Teams, Webex and FaceTime. It does not create, schedule or reschedule meetings, track working hours, provide a shared team or room timer, or run on Windows.

## FAQ

### How do I see overlapping meetings across work and personal calendars on Mac?

First put the calendars into Apple Calendar, then select the relevant calendars in Interval. Its visible overlap warning can flag clashes in that selected set.

### Does Interval fix or reschedule overlaps?

No. It reads events and shows a warning. Decline, edit or rearrange an invitation in your calendar and agree the change with the people involved.

### Does Interval send a notification for overlaps?

The documented feature is an orange warning beside the meeting. It is not a promise of a separate system notification.

### Does it work with Google Calendar and Outlook?

Yes, when those calendars are available in Apple Calendar on your Mac. Interval has no direct Google or Outlook sign-in and never edits their events.
